This site is operated by Thriving Minds Collective Ltd (Company No. 16358249), trading as The Islington Psychologist. This policy sets out what personal data we collect when you use this website or get in touch with us, why we collect it, and what rights you have over it.

Who is responsible for your data

Thriving Minds Collective Ltd is the data controller for the administrative side of the practice: handling your enquiry, matching you with a psychologist, and keeping the site and booking process running. We are registered with the Information Commissioner’s Office, registration number ZB902327.

Once you are working with a psychologist, they become responsible for the clinical records they hold about you, in line with the professional standards set by the Health and Care Professions Council. Clinical notes are kept by your treating clinician rather than pooled into a shared, practice-wide file that anyone in the team can browse.

What we collect

When you complete our get-started questionnaire or contact us directly, we collect the details you provide: your name, contact details, and the information you choose to share about what has brought you to us, including sensitive information about your mental health where relevant. We only ask for what we need to respond to your enquiry safely and appropriately.

If you go on to work with a psychologist, they will hold clinical records relating to your assessment, treatment and progress. These are held separately from general website and enquiry data.

We also use website analytics tools, described in full in our cookie policy, which help us understand how the site is used. These do not identify you personally.

Why we process your data and on what basis

We process your data to respond to enquiries, arrange and deliver therapy sessions, and meet our legal and professional obligations, such as safeguarding duties. Where we rely on consent, for example to use analytics cookies, you are free to withdraw that consent at any time. Where information is health-related, we handle it under the specific UK GDPR basis that applies to the provision of healthcare, alongside your explicit consent where relevant.

Who we share it with

Information you give us through the get-started questionnaire is shared with the psychologist you are matched with. Beyond that, we do not sell your data, and we do not use it for advertising. We may need to disclose information without your consent where there is a serious risk to your safety or someone else’s, or where the law requires it, such as under HCPC regulatory obligations. Wherever we can, we will discuss this with you first.

Keeping your data secure

Personal and clinical data is stored using encrypted systems with access limited to those who need it to do their job. Video sessions are encrypted and not recorded. We review our security arrangements regularly and take reasonable steps to guard against loss, misuse or unauthorised access.

How long we keep it

Enquiry and contact details are kept for as long as needed to respond to you, and typically no longer than two years after your last contact with us. Clinical records are kept for longer, in line with HCPC and NHS good practice guidance, usually a minimum of seven years after your last session. Financial records are kept for seven years to meet HMRC requirements.

Your rights

Under UK GDPR you can ask us to: give you a copy of the data we hold about you, correct anything that is inaccurate, delete your data where we are not required to keep it, restrict or object to certain processing, or provide your data in a portable format. You can also withdraw consent at any time without it affecting any therapy you are receiving. To use any of these rights, email us using the details below and we will respond within one month.

Automated decisions

We do not make decisions that have a legal or similarly significant effect on you using automated means alone. Our get-started questionnaire is a structured set of questions that a member of our clinical team reviews before any decision is made about matching or next steps.
